The admin dashboard provides a monthly overview of the department schedule and quick access to requests and messages.

Navigating the Dashboard

Navigating the Calendar

  • Users can navigate to different months by using the arrows located on either side of the date, example below:

  • Selecting the ‘Today’ button will bring users back to the current month.

  • Choose which Battalion to view using the drop down in the upper right hand side.

  • Selecting a day on the calendar will open up the Roster for that selected day

  • Toggle the Message and Requests side panel select the icon pictured below:

Each Day on Calendar Shows:

  • Vacancies - the number of vacant positions that need to be filled on Roster

    • If there is a position on roster that should be excluded from the vacancy count, for example an administration position, be sure in the Shift Planning Tool to mark as ‘Ignore Vacancy’ in the advance options.

  • Floater - Will represent the number of employees on roster not yet assigned to a station.

  • Employees Off - represent the number of employees placed on “Off Roster”, this includes things such as shift trades, extended leave, and vacation.

Colored Tags

Each day on the calendar has a colored tab containing the day of the week. These colors directly correlate to the color of the shift pattern assigned to work this day.

Requests

Requests is where all user requests such as time-off and additional paid time are handled. Here users can choose to accept, deny, or postpone requests.

  • Filters - Staffers are able to filter through multiple requests using the following

    • Battalion

    • Station

    • Shift

    • Date - selecting a date will open all requests for that specific day.

  • Accepting a Request - will reflect on the requesters personal calendar, add any time entries to the requesters payroll, and adjust Roster days as needed.

    • Approved time off requests will automatically exclude users from staffing lists - set to follow the departments set rules

    • Note: Once a request has been approved the requester will be unable to make adjustments to the request. Any changes will have to be handled manually by staffers in payroll and in roster.

  • Denying a Request - will notify the requester their request has been denied, they then will have to resubmit as needed.

  • Postponing a Request - will allow users to choose to be notified at a later date of this request

Messages

Messages enable users to view all sent communication and compose new messages.

Compose a Message

  1. Click the blue '+ Compose' button in the top-right corner

  2. Choose the message type from the 'General' dropdown menu:

    • General, To-Do, EMS, or Training

  3. Select 'To':

    • Here users can filter through users by using the search bar and using the check boxes located on left side of the name. Select to send to all users or choose specific shifts and work groups

    • Note: Work groups must be created beforehand on the Employees page in order to appear here

  4. Once all recipients are chosen click “Add Recipients”

  5. Compose your message, inputing a subject line and utilizing the tools located at the bottom of the screen

  6. Click 'Send' to deliver your message

Cancel a Message

  1. Click the '...' in the top-right corner of the message card

  2. Select 'Cancel Message'

  3. Add a note if desired

  4. Click 'Cancel Message' to confirm

Send A Follow Up (View Message Stats)

  1. Click the '...' in the top-right corner of the message card

  2. Select ‘Send Follow-up’

  3. This will open a message thread where a new message can be composed and sent to the same recipients, compose the new message and click ‘Send’

  4. Here users can also view who has seen, read, and not viewed the message with option to resend the message if needed. See the screenshot below for an example

    1. In this example you can see ‘haven’t completed’ there are messages marked as ‘To-Do’ that recipients can mark as completed to update this status.
